TITLE: Support Services Manager, Berkeley

ACCOUNTABILITY: The Support Services Manager works under the supervision of the Berkeley Workforce Services Manager to manage program support services at the Berkeley site.
QUALIFICATIONS:
- An Associates degree (experience of at least three years as an office manager or similar capacity may substitute for a degree);
- Two years of supervisory experience with operations support staff;
- Computer proficiency in Microsoft Word, Excel, and Outlook;
- Attention to detail, math aptitude, and light bookkeeping skills;
- Ability to develop and maintain internal procedures and protocols;
- Excellent oral and written communication skills;
- Excellent organizational skills and ability to prioritize tasks, and to respond to numerous responsibilities in a fast paced environment;
- The ability to work well independently and as a member of a team, and to develop and maintain effective working relationships with supervisor, participants, co-workers and associates;
- Experience in non-profit workforce services organization desirable, but not required;
- Desktop publishing skills to create professional looking program materials and pamphlets desirable;
- Bilingual English/Spanish desirable, but not required;
- This position requires the employee to be able to travel efficiently throughout the Bay Area. If the employee opts to meet these travel requirements by driving, proof of a valid and current driver license, current auto insurance, and an acceptable Motor Vehicle Report are required.
RESPONSIBILITIES:
- Coordinate program support and office management for the Berkeley Workforce Services Manager, assisting in a variety of tasks to ensure service delivery, client flow and customer service are seamless*;
- Develop, implement and/or constantly refine office procedures, program database systems and paperwork accountability*;
- Supervise Program Assistant and provide program support coverage in the absence of the Assistant*;
- Coordinate, implement, and document all supportive services for various program participants, including the use of participant support funds, including: petty cash, retail cards, donations, and public transit fares such as BART tickets and bus passes*;
- Manage quality control of CICERO database related paperwork and supervision of data entry for specific programs*;
- As Safety Coordinator for the Berkeley Office, provide New Employee Safety Orientation to employees, facilitate building safety in coordination with the Facilities Manager, and attend all Executive Safety Committee meetings;
- Create and distribute pamphlets, flyers and program information to participants and other organizations as directed;
- Manage facilities issues including: submitting and following up on work orders, scheduling maintenance for office equipment, maintaining inventory of office supplies, and submitting purchase orders as needed;
- Orienting new Berkeley employees to operations, procedures and standards;
- In the shortfall of program staff, assist with intakes and other documentation as instructed; and
- Perform other duties as required by the Berkeley Workforce Services Manager, or other identified supervisor.

HOURS: This is a full-time non-exempt position.
COMPENSATION: $39,150 to $43,200; additional compensation of 5% of salary will be provided for proven English/Spanish bilingual capacity.
